If you’d like to share your document outside of Workiva, you can export it as a Microsoft Word Document (.docx), EDGAR, PDF or XHTML.
Note: If you want to send your document to another Workiva user for review, you can use send for review.
Note: If page numbers were inserted as Auto Text > Section page numbers then the PDF export will render the numbers as a # if not all sections are exported. Click here to learn more about auto text.
Export as DOCX or EDGAR
Note: Diagonal borders aren't supported in EDGAR exports.
To export your document as a DOCX or EDGAR file:
- From the File toolbar, click Save As .
- Under Export, choose EDGAR (.htm) or DOCX Beta (.docx).
- Select whether you’d like to export the entire document, the current section, or selected sections.
- For DOCX, open the Advanced options to select to include leader dots or table shading, embed fonts, or reduce image resolution.
- Click Export. Your download begins automatically.

Export as PDF
If you’re exporting your document as a PDF, you can further customize your export options. To learn about PDF limitations, read Things to keep in mind when exporting to PDF.
- From the File toolbar, click Save As .
- Choose PDF (.pdf).
- Select whether you’d like to export the entire document, the current section, or selected sections.
- Customize your export:
- Select whether to include certain formatting options, like leader dots and alternate row fill.
- Choose to include hyperlinks, attachment labels, comments, draft watermark, and track changes.
- If you plan on printing your document, select Use CMYK colorspace.
- To include tagging elements needed for screen readers, select Tag for web accessibility.
- To show all document markup in the PDF, select Include Markup.
- To use bookmarks made in Workiva as a PDF outline, select Use bookmarks to create PDF outline.

Select Reduce image resolution to downscale the pixels per inch (PPI) of your images and reduce the overall file size. This overrides the document properties, to learn more read Document and section properties.
For Designed reporting workspaces, there are additional export options that you can select.
Designed reporting features are a part of an extension that's available to all solutions. Reach out to your Customer Success Manager to get access.
- Convert SVG to PNG. Learn more about SVG images in Insert of upload SVG images.

- Click Export. Your download begins automatically.
Things to keep in mind when exporting to PDF
- If you open a PDF in Google Chrome, not all features are expected to work (e.g. hyperlinks). We recommend opening from the PDF itself rather than a browser.
Export as XHTML
To export your document as a XHTML file:
- From the File toolbar, click Save As .
- Choose XHTML (.xhtml).
- Select whether you’d like to export the entire document, the current section, or selected sections.
- For XHTML, open the Advanced options to select to export the document with editable XHTML, disable external hyperlinks, include headers and footers, or to reduce image resolution.
- Click Export. Your download begins automatically.
Understand how ligatures affect XHTML exports
Workiva doesn't support font ligatures within Documents. However, some export formats such as XHTML do support ligatures. This can cause text to appear differently after export, depending on the font used.
A ligature is a font feature that replaces a sequence of characters with a single combined character (glyph). For example, some fonts automatically display the character sequence (c) as the copyright symbol ©. In Workiva, ligatures are not applied. If you type (c), it displays exactly as entered.
When you export a document to XHTML, the exported file may apply ligatures because XHTML supports font embedding and character substitution. If the font used in your document includes ligature rules, the exported file may visually substitute certain character combinations.
Note: The underlying text doesn't change during export. Only the visual rendering of the text may differ based on how the font behaves outside of Workiva.
Example
- In Workiva: You type (c) → It displays as (c)
- In exported XHTML file (with a font that supports ligatures): (c) → May visually render as ©
The file still contains the original characters (c). The change occurs only in how the font displays the text.
