Email Notifications: Batch Job Settings for Task Assignment, Reminder, & Past Due
BeantwoordSeparate from the email bundling, I understand that there are standard jobs that predefine when task email notifications are sent to task assignees. What are the current timelines/frequencies for these notifications? For example, there task assignment and user-generated reminders go out and simply follow the email bundling workspace settings but other notifications are not so clear. In particular:
1. How many days from the due date do automated reminders start?
2. Is a separate email sent for past due tasks?
3. Will past due reminders send indefinitely?
4. Are there CRON settings that can be configured to specify when the automated email reminders are sent? For example, it seems like they are currently set to send out at 5AM EST every day of the week (including weekends). It would be ideal to be able to configure this to a time more relevant to user timezone and avoid weekend emails.

The ability to schedule automated reminders for both stand along Tasks and those within a Process (including Certifications) has been made available in the Workiva platform and announced here.Here is the updated breakdown of how task reminder notifications work:1. Reminders & Customization
- Default Schedule: By default, automated reminders begin 3 days before the due date, the day of, and every day for 3 days after the due date — across Process actions and standalone Tasks.
- Certifications: You can change the default reminder schedule at the process level in Certification Settings before the process starts, or customize reminders per individual certification action during setup.
- Process & Certification Tasks: Custom automated reminders (up to 3 per action) can be configured during action setup, including a preferred send time in the Task details section.
2. Past Due Tasks & Duration- -Separate Email? There is no unique "past due" email template. The standard daily reminder cadence simply continues if the task is incomplete.
- Duration: By default, automated past-due reminders send daily for 3 days past the due date and then stop. Any further reminders must be sent manually by an admin or process manager.
- With custom reminders, users can set a cut-off date to stop reminders earlier — or configure a cadence (e.g., weekly) that extends beyond the default 3-day post-due window.
3. Timing & Schedule Settings (CRON)- System-wide send times, local timezone rules, and weekend exclusions are still not configurable via customer CRON settings. Notifications run on internal system jobs that process in UTC.

Financial Reporting (Finance)
- All FR solutions include Processes, but not all include Content Requests or Certifications — this varies by SKU.
GRC
- GRC solutions have Processes and Certifications widely available and commonly used.
- The notification behavior (3 days before, day of, 3 days after) applies the same way in GRC.
- Most GRC tasks (Requests, Testing tasks) do not support editing the reminder schedule — customization via Task details is more limited here compared to FR Process tasks.
Sustainability / ESG
- Sustainability workspaces can have access to Processes, but it is not universally included — availability depends on the specific solution SKU purchased.
- Ffor Sustainability, the metric Tasks within the Program are the primary task mechanism
- Processes are not natively rolled forward as part of the Sustainability Program rollforward — they need to be managed separately.
The notification cadence (3 days before → day of → 3 days after) is a platform-wide standard that applies wherever Tasks and Processes are used. However:
- Certifications may not be enabled in all solution types — access depends on the SKU
- Custom reminder configuration in Task details is more available in FR Process tasks than in GRC tasks
- Sustainability workspaces have more limited Processes integration by design
