There are two types of reminders for actions in Processes: automated reminders and manual reminders. Automated reminders are automatically sent to assignees on a schedule, while manual reminders are sent manually whenever you want to remind assignees about actions that they may have forgotten about.
Note: If you want to manually send task reminders for tasks in files or tasks in Home, see Send reminders in Tasks.
Automated process reminders
By default, automated reminders with default content are sent via email three days before, the day of, and every day for three days after the action due date (for certification actions, you can change this default schedule and email content before the process starts by going to the certification settings in the process properties). However, you can choose to not send any automated reminders at all or customize the reminders according to your personal needs.
Note: You can only have up to three automated reminders for any given action.
To customize automated reminders:
- When creating or editing an action in a process, depending on which type of reminders you want to customize, click on either the Assignee reminders or Approver reminders dropdown and select Custom.
- For each automated reminder in the Email reminders section, choose the Email schedule for when the email reminder will be sent to the assignee or approver. Reminders will be sent once per day according to that schedule at your specified time in the Task details section.
- Fill out the email’s Subject and Body. You can see what the reminder will look like in the Preview to the right.
- You can click on the menu icon to Delete or Duplicate reminders.
- Click Save in the top right to save your custom automated reminders.
Manual process reminders
If an assignee or approver hasn't completed their action, you can send a reminder. Reminders are only sent to the people the action is currently assigned to.
To send a reminder for an individual action:
- Click the dropdown arrow next to the action.
- Select Remind to manually send a reminder to the current assignees.
You can also send reminders for multiple actions using the Remind feature in the toolbar. You can send a reminder for all incomplete actions or just actions with a certain status, like Sent or Returned.
