With Workiva AI’s intelligent companion, you can create and edit content in your documents. Workiva AI companion is able to take context from your currently open document to help you throughout your process. To learn more about Workiva AI tools and other related questions, read Workiva AI FAQ.
Requirements
- Workiva AI is available to any customer who has signed the Workiva AI Terms of Use. Once approved, Workiva AI is enabled by default for the entirety of the organization, including all existing and newly added workspaces and users.
- Org Admins can manage this enablement by restricting Workiva AI to specific workspaces and users or disabling it for the entire organization.
- Workiva AI is fully encrypted and never trained on Workiva content or customer data. Learn more: Workiva's approach to AI
To use the Workiva AI’s intelligent companion in documents:
- Click the Workiva AI button with the sparkles icon in the right hand panel.

Write your own prompt. By writing your own, you can reference your document. You can also select one of the suggested quick prompts on the panel or use the prompt advisor. To open the prompt advisor, click Add, go to Prompt, and click Browse prompt advisor.
Note: Prompts don’t take in the context of the document.
If you want to quickly make edits to your content while you're within your document, you can use quick edits. To learn more, read Use quick edits for documents.
Example prompt
Here is an example prompt that you can ask the intelligent companion:
- Year over Year Financial Change Narrative prompt
You can select this from the prompt advisor, review the prompt's response, and insert any details.

Insert content into your file
When you receive a response from Workiva AI, you can easily insert content directly into your file. First, move your cursor to the spot where you want the content to go. Then underneath the response, click Insert. The content will automatically go into the file.
You can also select Copy instead. This will copy the response so you can paste into someplace else.
When a response includes structured content (such as tables, code, formulas, or multiple options), each object may include its own Insert and Copy option.
- Use the Insert button within an object to add only that specific item to your file.
- Use the Insert button underneath the response to add the full response, including all objects and any supporting text.
Note: Inserted content will appear at your cursor location in the file. Review the placement before inserting to make sure it appears in the correct context.
Use the knowledge base in Workiva AI’s intelligent companion
Easily change the knowledge base to one that suits your needs and then ask your chat prompts from there. By selecting the knowledge base that is most relevant to your prompts, you can get the most accurate and informative responses to help make your work easier and more efficient. By default, a general knowledge base is applied. This helps you with general knowledge and tasks.
Workiva Support is another knowledge base that can be selected. This will refer to the Workiva Support content to help you with your questions about Workiva-specific features. Responses will include links to relevant articles and videos for the support center.
To select a knowledge base:
- Click the Workiva AI button with the sparkles icon in the right hand panel.
- Near the bottom of the Workiva AI panel, click Add and go to Knowledge Base.
- Select your desired knowledge base.
- Send your prompt, and Workiva AI’s intelligent companion will refer to content from that knowledge base in its response.
For example, if you want to ask Workiva AI about a Workiva-specific feature like blacklines, first change the Knowledge base to Workiva Support Intelligence. Workiva AI will then refer to Workiva Support content and will include links to articles about blacklines in its response.
Reference files within Workiva AI
To help you gain greater insight into your data and documents, you can use File Intelligence to reference files in Workiva AI. This will allow you to summarize files, extract data from files, generate new content based on those files, and more, all while staying safe and secure in the Workiva platform.
To reference files:
- Click the Workiva AI button with the sparkles icon in the right hand panel.
- Click Add and go to File.
- You can select one of your recent files in the open menu or click Browse all files to add other files.
Note: If you afterwards edit the file name in the prompt, the file reference will no longer work. To fix this, delete the file name entirely and select your files again. - Adjust the prompt to suit your needs, then send the prompt. Workiva AI will use the text in the latest versions of the referenced files to inform its response.
Referencing files limitations
File referencing in Workiva AI’s intelligent companion currently only supports certain file and content types.
