What's the difference between chat, the intelligent companion, and the inline content editor?
The Workiva AI chat experience starts with a blank slate, requiring you to actively provide information and prompts to the system. It's designed to remember previous questions and responses and flow like a real conversation while answering high-level questions.
The intelligent companion is similar to the global chat experience, but is deeply integrated with the individual document, spreadsheet, or query you're working on. This allows it to provide highly-contextual suggestions in a tightly collaborative experience. It has a far greater understanding of your current task and can provide more relevant and accurate feedback as compared to the general Workiva AI chat.
Finally, the inline content editor experience provides object-level assistance when you need to analyze or improve existing text. Because the AI has additional context to work with, the inline experience can provide meaningful suggestions and improvements tailored to the specific snippet of content you're working with.
When should I use the chat experience then?
The chat experience is most appropriate in the following situations:
- Generate content: To generate high-quality content, specify details, instructions, and examples directly within the chat to shape the conversation and receive content that aligns with your specific needs.
- Ask questions: Pose questions, seek clarity, or explore specific topics in the chat experience. Whether you're curious about the inner workings of large language models or eager to grasp complex concepts, simply type your question and Workiva AI will strive to provide a comprehensive response.
- Have iterative conversations: After receiving an initial response from Workiva AI, you can ask followup questions, seek further explanations, or request simplified explanations. This interactive approach makes conversations with Workiva AI dynamic and engaging, enabling you to dive deeper into a subject.

What is prompt engineering?
Prompt engineering is the process of crafting your prompts to get the most accurate and helpful response from a large language model (LLM), such as those that power Workiva AI.
Here are some tips on how to structure your prompts:
- Clearly state the task or instructions: For example, you might ask, "Please provide an explanation of AS400 password rules in financial accounting."

Is Workiva AI intended to replace human expertise?
No, Workiva AI is a tool built to enhance your work rather than replace it. You always have control over when and how you engage with Workiva AI, ensuring that it complements your subject-matter knowledge. Your expertise and creativity should still guide the process.
We always recommend you review AI-generated content for accuracy and to ensure it aligns with your intentions and standards.
Does Workiva AI always provide accurate answers for the most recent laws, regulations, and accounting guidance?
Due to biases or errors in the training data, Workiva AI is not always accurate and may produce content that is incorrect or unrealistic. These limitations occur because the large language models that power Workiva AI are unable to fully comprehend all the complexities of the real world.
As such, Workiva AI should not be relied upon as a source for up-to-date laws, regulations, and accounting guidance. While LLM's can process vast amounts of information, they are unable to stay continuously updated with the latest legal or regulatory changes.
Security and data privacy
Does Workiva AI use or collect data?
Workiva processes and may store limited usage and operational data related to your interactions with Workiva AI—such as session-level or user-level identifiers, prompts, document context, application contexts, referenced files, feature usage frequency, and performance metrics—to operate, secure, and improve the service.
This data does not include sensitive customer content beyond what is required to provide the AI experience and is handled in accordance with Workiva’s security, privacy, and data protection obligations.
This data is not used to train Workiva AI or third-party models.
Customer data remains protected within Workiva’s governed environment and is processed only for authorized purposes consistent with the platform’s security controls and applicable privacy requirements.
Does Workiva use customer or personal data to train the Workiva AI models?
No.
We are committed to safeguarding customer and personal data. Your data remains entirely separate from the AI training process, ensuring that it is not utilized for any model improvement.
What measures are in place to protect customer data during interactions with Workiva AI?
Data is encrypted at rest within the Workiva platform using AES-256, transmitted using TLS 1.2/AES-128 at minimum, logically segregated, and used only by authorized, permitted users who choose to enter the data and review its output.
We still strongly advise against entering any sensitive customer data into Workiva AI. While we've implemented measures to protect your data during usage, it's always important to exercise caution when using sensitive information.

If you have any questions or concerns about data security, we encourage you to refer to your organization's Master Services Agreement (MSA) for information on the established security standards. How do you prevent unauthorized access to documents through Workiva AI?
In our grounding phase, we pay special attention to Identity and Access Management (IAM) authorization. This means that even during Workiva AI interactions, we consider the user's authorization to access specific documents or sections. Unauthorized users are restricted from generating responses from documents they are not allowed to access.
What content filtering measures are in place to protect user privacy?
Content filtering is a crucial aspect of the Workiva AI feature. It serves to prevent the processing or generation of inappropriate or sensitive content. This ensures that user privacy is maintained, and that the Workiva AI responses comply with privacy guidelines.
Is the Workiva AI feature covered in your current SOC report?
