Workiva AI is integrated throughout the Workiva platform, but is most visible through the chat feature available at the top of your screen. Open the chat window just once and Workiva AI follows you between files and screens, carrying the full context of the conversation you're working on.
Workiva AI can understand the context of your work in:
- Documents
- Spreadsheets
- Presentations
- Wdata
- Files
This familiar chat experience is powered by leading AI model providers and can answer a broad range of questions, including those unique to the Workiva platform.
Requirements
- Workiva AI is available to any customer who has signed the Workiva AI Terms of Use. Once approved, Workiva AI is enabled by default for the entirety of the organization, including all existing and newly added workspaces and users.
- Org Admins can manage this enablement by restricting Workiva AI to specific workspaces and users or disabling it for the entire organization.
- Workiva AI is fully encrypted and never trained on Workiva content or customer data. Learn more: Workiva's approach to AI
Chat with Workiva AI
You can open Workiva AI from anywhere in the platform. The sparkles icon at the top of your screen is always available, and several other entry points open the same chat—same features, same settings, same conversation history.
- Click the Workiva AI sparkles icon at the top of the screen.
- Select one of the suggested prompts, or write your own question. Click Send.
Other ways to open Workiva AI
You can also open Workiva AI from:
- File or search result: Right-click a file or a search result and select Ask Workiva AI.
- Intelligent search: Click the sparkles icon in your intelligent search results.
- Quick edit: Starting a quick edit in a supported file opens Workiva AI automatically.
Workiva AI chat features
You can view—and verify—Workiva AI's thought process by expanding the Show thinking section in a chat response. This shows you how Workiva AI arrived at its answer.
Note: Workiva AI's thought process isn't included when you copy an output, and it can't be exported.
Workiva AI lists all the sources used in constructing its answer in the Sources section at the bottom of a chat response.
When drafting content, you can click the three-dot menu at the bottom of the chat window to Refine Workiva AI's response. This allows you to set a different tone, shorten the response, and otherwise modify the output.
Note: You can also refine content by entering written instructions to Workiva AI through the chat window.
Customize your chat experience
You can improve the quality of Workiva AI's responses by choosing a knowledge base, adding files from your workspace, or using the prompt advisor.
Workiva AI answers a wide range of general questions by default, but it can also search a knowledge base within Workiva. This gives you more accurate answers when you ask questions unique to your work.

Workiva AI can reference specific files in your workspace for greater insight into your data and documents. When focused on a single file, Workiva AI uses that context in its answers—you might ask it to analyze the file's content, extract important data, or create new assets based on what it contains.
Note: You can add a maximum of 10 files to a prompt.

The Workiva AI prompt advisor provides ready-to-use prompts categorized by industry. These tested prompts are a quick way to get reliable answers for everyday tasks.

Chat settings
Workiva AI's chat settings allow you to clear your chat history, set a preferred AI provider, or change how the chat is displayed.
Select Clear chat from the three-dot menu to start a new chat session with Workiva AI.
Select Open settings from the three-dot menu at the top of your chat window to choose a preferred AI model provider in your Workiva profile.
Your list of available model providers is set by the Organization Admin at your company. Workiva AI defaults to your preferred provider when possible, but may switch when another model is better suited to the task.
If you switch providers midway through a chat, the current chat keeps using the original provider. Refresh your browser or clear the chat to start a new session.
Workiva AI opens in Side view by default, in a panel next to your work. To give the chat more room, select Full view from the three-dot menu at the top of your chat window. A check mark shows which view is active.
Workflows (Preview feature)
Workflows are guided, multi-step tasks that Workiva AI completes with you. Select a workflow and Workiva AI walks you through the steps—asking for input where it's needed and showing its work along the way. Each workflow is built for a specific job, such as drafting a disclosure or comparing your reporting to peers, and new workflows are added regularly.
Note: This feature is currently available to select customers as part of the Workiva AI Workflows preview. The preview feature is provided to you for technical testing and evaluation only beginning July 2, 2026. Workiva may extend the testing period of the preview features at its discretion. If your team is interested in using this feature, please contact your Customer Success Manager.
To start a workflow:
- Select the Workflows button, represented by a rocket ship, in the upper-right corner of the chat.

Browse or search the list, then select a workflow to start it.
Note: Available workflows vary depending on which solutions are enabled for your workspace.
When you start a workflow, Workiva AI sends the first prompt for you and begins the task, so you can move straight into reviewing and refining the results.
