Intelligent Search makes content discovery smarter, faster, and more comprehensive!
- Accessible via global navigation: Easily search for anything, anytime, without disrupting your workflow
- Enhanced content discovery: Search by title, keywords, and phrases across files
- Search assistance: Streamline your search with recent searches and auto-completed suggestions
- Enhanced search results: Take faster action with text previews, helpful metadata, and direct links to content
- Filters: Refine search results by type, date, and other criteria
- Integrated with Workiva AI: Summarize, ask questions, and generate new content directly from the search results (this requires Generative AI to be enabled in your account)
Note: Search results are limited to the content you have at least Viewer access to. Workspace Admins also can’t view search results unless they have explicit access.
Access Intelligent Search
You can access Intelligent Search at any time by clicking the search icon in the global navigation bar.
Start your search
Enter keywords or phrases to search text within Workiva documents and presentations. You can also search titles of various content types, including spreadsheets, folders, filings, uploads, binders, and more.
Explore search results
Search results will show key details such as type, title, location, and last modified date. The text previews with highlighted terms help you easily spot relevant information.
Filter search results
Click Advanced search and apply filters such as type, date, and user to narrow your search and find what you need more efficiently (make sure to click Apply for your filters to take effect). Your chosen filters will appear as visual chips, and you can remove them one at a time or click Clear all to clear all filters at once. You can also apply certain commonly used filters directly from the results page for quicker filtering.
Revisit recent searches
When you open a search result, your search along with any filters that you applied will display under Recent searches the next time you use Intelligent Search.
Ask AI about your search results
With Workiva Generative AI enabled in your organization, you can ask for a summary, new draft, or bulleted list about a search result by clicking Ask Generative AI.
