Workiva AI is integrated throughout the Workiva platform, but is most visible through the global chat feature available at the top of your screen. This familiar chat experience is powered by leading AI model providers and can answer a broad range of general questions, including those unique to the Workiva platform.
Note: The Workiva AI chat is available at all times through the toolbar. When working with specific files, you may see better results using the intelligent companion chat for documents or spreadsheets.
Requirements
- Workiva AI is available to any customer who has signed the Workiva AI Terms of Use. Once approved, Workiva AI is enabled by default for the entirety of the organization, including all existing and newly added workspaces and users.
- Org Admins can manage this enablement by restricting Workiva AI to specific workspaces and users or disabling it for the entire organization.

Chat with Workiva AI
Workiva AI's global chat is always available at the top of your screen, no matter where you are in the platform. It's ideal for general questions about your work, but can also be customized to understand specific files or parts of the Workiva software.
- Click the Workiva AI button with the sparkles in the upper-right corner of the platform.
- Select one of the suggested prompts, or write your own question. Click Send.
Workiva AI chat features
You can view — and verify — Workiva AI's thought process by expanding the Show thinking section in a chat response. This shows you how Workiva AI arrived at its answer.
Note: Workiva AI's "thought process" isn't included when copying outputs and can't be directly exported at this time.
Workiva AI lists all the sources used in constructing its answer in the Sources section at the bottom of a chat response.
When drafting content, you can click the three-dot menu at the bottom of the chat window to Refine Workiva AI's response. This allows you to set a different tone, shorten the response, and otherwise modify the output.
Note: You can also refine content by entering written instructions to Workiva AI through the chat window.
Customize your chat experience
You can improve the quality of Workiva AI's responses by referencing specific files in your workspace, adjusting your prompts, or choosing a specialized knowledge base.
Workiva AI can reference specific files in your workspace to provide greater insight into your data and documents. When focused on a single file, Workiva AI uses that context in its answers — for example, you might ask it to analyze a file's content, extract important data, or create new assets based on what it contains.

The Workiva AI prompt advisor provides lists of ready-to-use prompts that are categorized by industry. These tried-and-tested prompts are a quick way to get reliable answers when performing everyday tasks.

Workiva AI answers a wide range of general questions by default, but it can also be configured to search specialty knowledge bases within Workiva. This helps you receive more accurate and informative answers when asking questions unique to the Workiva software.

Chat settings
Workiva AI's chat settings allow you to clear your chat history or set a preferred AI provider.
Select Clear chat from the three-dot menu to start a new chat session with Workiva AI.
Select Open settings from the three-dot menu at the top of your chat window to choose a preferred AI model provider in your Workiva profile.
Your list of available model providers is set by the Organization Admin at your company. Workiva AI will default to your preferred provider when possible, but may switch to a different one when it is not the best model for the current task.
What happens when I switch my preferred AI provider midway through a chat?
The chat will continue to use the current provider until you start a new chat session. This can be accomplished by refreshing the browser or clearing the chat from the Clear chat history tab.
