Override manual inputted approved field

We're reaching out because we encountered something unexpected during our Workiva setup, and we wanted to check whether this is something that Workiva is currently addressing or planning to address in the near future.
 
One of the key reasons we chose Workiva was the approval and rejection workflow functionality. However, we discovered that even after a KPI is approved in the data collection sheet, it can still be manually overwritten.
 
From both an internal control and audit perspective, we see this as a high risk. To ensure data integrity and maintain a strong audit trail, it is necessary that KPIs are locked from further manual edits unless explicitly reopened.
 
Could you please let us know if this limitation is being addressed or if it’s something that’s on the roadmap? What is the foreseen timing to launch the fix?

    Hi everyone,
     
    The feature Steve mentioned, Connected Metric Value Snapshots, are available now for all Sustainability Reporting customers.
     
    When a metric value is Completed (regardless of how it was collected — via connected source file, Workiva Tasks, or directly in the Program), the Sustainability Program automatically takes a snapshot of the value at the moment of completion.
    • After completion, the value is frozen — subsequent edits to the connected source file will not automatically update the metric value in the Program
    • If the source file value later changes, the Program alerts users via:
    • Inline indicators (triangle icons) on the metric and source file's Sustainability or Tasks panel
    • Email notifications (if enabled by a Program Owner from Program settings)
    • Health check results from Program overview
    Note: If the connected value status is not Complete, it remains a live connection and will continue to auto-update from the source.
     
    If a Source Value Changes Post-Completion.....to update the metric with the new source value, a Program Owner, Editor, or Task Owner must:
    • Reset the value or its task from the metric to restart data collection, OR
    • -Reopen the task from the connected source file, then choose to complete it on behalf of the assignee
    To keep the metric value as it was when Completed — do nothing. The snapshot is preserved.

    Run a health check from Program overview to find all Completed metric values that differ from their connected source:
    1. Select Program overview from the outline
    2. Choose the Program year to inspect
    3. Click Run health check under Health

    Hi Susan, thanks for the feedback! We do indeed currently have work in flight to preserve values within Sustainability Program upon task completion — regardless of their source — and prevent automatic updates based on subsequent edits to a connected source file. In the meantime, you may consider collecting values through the Workiva Tasks portal instead of a connected spreadsheet, as its values automatically lock and can't be edited upon task completion.

    Hi Susan! There's no firm timeline at the moment given other work in flight; tentatively a few months, possibly closer toward the end of the year.
