New Certification Roll Forward Best Practices
I am in the process of migrating to the new Certifications Process interface. In the old Certifications interface, I was able to copy or "roll forward" a certification letter into the succeeding period without including signers. This feature was very useful as I sometimes have to update the group of signers to account for any turnover that occurred during the reporting period. I then reattach the group to the copied or "rolled forward" Certification letter.
1) Is there or will there be a feature to copy Certifications in the new interface forward without including the list of signers and then reattaching the updated group via a bulk edit?
2) Would there be a better practice I could perhaps use in the new Certifications Process to account for change in signers within the group, should I update the group prior to rolling forward the letter?

Hi everyone,
We appreciate all the feedback shared here regarding rolling forward certifications in the new interface. We want to provide a quick summary of the best practices and capabilities available to make this as smooth as possible:
1. Reusing Letter Content Without Signers (Templates)
If you want to reuse letter content without carrying over past signers, the recommended approach is to use Letter Templates:
-
Save your certification letters as Letter Templates.
-
When starting a new period, create a new process and apply those templates.
-
Because templates don't store signer assignments, you can attach your updated signer group fresh each period.
2. Handling Signer Turnover (Updating Groups vs. Copying)
-
Best Practice: Update your group membership first, before copying a process. When you copy a process, the current group members carry over, ensuring your rolled-forward process reflects the most up-to-date group.
-
Bulk Editing: If you need to make updates after copying (but before launching), you can use the Bulk Edit feature. Select multiple certification actions --> Edit actions --> update Users (signers/approvers) to perform sweeping updates at once.
For step-by-step instructions, feel free to check out our help articles on creating letter templates and bulk editing certification actions in a process. Thanks again for your continued feedback!
Welcome to the Community Michael Gutman,
I'm checking with our new certification experts on any best practices and will be sure to message you once I hear back!
0Back with an update for you Michael Gutman,
So, we don't have plans or current functionality to match the ability to copy w/o signatures. However, there is a workaround. In this scenario I would recommend building the letter as a template so you can use it in any process, and then build a new process for each certification process needed and simplify the build by using the bulk certification creation which will always be using the most up to date group members and then you can use the template to create the letters you need to apply to those certifications.
Hope this helps!
0This totally eliminates the usefulness of the entire system. We have hundreds of UNIQUE letters that are sent each quarter. We are expected to build each process each time?
2Seconded with what Erica has said. This is a massive step backwards in the Workiva functionality. This needs a solution to help customers.
0Is there a timeline for this feature to be implemented? As echoed by users above, this impedes upon the functionality use of the Certification Process.
0Agreed on the above, there needs to be a way to roll certifications forward. This new process is adding hours each quarter to what used to be a single click
0As Certifications are normally used on a periodic basis (e.g. quarterly) I don't seem to find a way to copy a template for use in the next period. That would be a Very helpful and time saving feature. It would also provide better traceability to the language in the certification instructions and any added attachments that are not recorded in the individual signers' responses. It would also help when you have numerous items in a certification that you may want to create a template for a group that only is to certify a portion of the overall question set. (I originally posted this comment in a different post but that one was "Answered" and probably not monitored anymore.)
1I also agree - there needs to be a way to roll certifications forward. This new process is adding hours each quarter to what used to be a single click. Without this inability to simply click to roll forward, it's unnecessarily inefficient.
0Facing the same problem as well. I have a bunch of certifications to send out to respective recipients. I have to recreate these all over again every year.
