Translation Best Practices
In this article, we'll explore essential best practices for document translation. We've highlighted three key options to help streamline and improve your translation process.
Option 1 - Translation directly in Workiva (Highly Recommended)
- Begin by setting up the format and link of the first document in Workiva (English version).
- Once ready, make a copy of the English document, rename the new file, and start translating.
- Use the existing translation tool within Workiva and include a translation glossary by uploading product names, acronyms, and key terms unique to the business.
> This option preserves everything, including formatting, linking, and tagging, preventing manual errors and saving time.
Option 2 - Translation Outside of Workiva with copy & paste process
Follow the first two steps outlined in Option 1.
- Format and link the English report document.
- Export the document for translators to work on
- Create a copy of the English Workiva file and decide whether both languages should share one spreadsheet (recommended for best practice).
- If sharing a spreadsheet, add translated line items and headings, and relink.
- Copy-paste section by section from the translated file into the copied file.
> Following this approach ensures that links to the document are maintained, eliminating the need for replication.
Option 3 - Translation Outside Workiva and Content Import into a New Document
Repeat the first two steps as in the previous options.
- Format and link the English report document.
- Export the document for translators to work on the content.
- Import the translated content into a new document and set it up from scratch.
- Export style guides from the English version for consistent formatting.
- Create document sections, apply the style guide, and recreate links to the spreadsheet.> This option requires setting up the document from scratch, involving sectioning, style guide application (to match the English document), and linking. It's important to note that Options 2 and 3 can be time-consuming and carry an increased risk of human error during the copy-paste process or formatting. The current best practice strongly recommends encouraging the client to leverage the benefits of having the translation done in the Workiva platform to streamline the process and mitigate potential errors.
