How to lock a document to prevent changes after official publication?
Hi Workiva Community!
I'd like to know if there is a way to lock a document after its official publication or distribution to the market, preventing any further modifications.
Specifically:
-
Is there a native feature to make a document read-only for all users, including document owners?
-
Can we freeze a published version while preserving its formatting, content, and linked data?
-
Is there a way to prevent automatic updates from linked spreadsheets from changing the published document?
-
What are the recommended best practices for maintaining an immutable, auditable version of a regulatory or financial report after publication?
Our goal is to ensure that officially published reports remain unchanged, while allowing teams to continue working on future reporting periods.
Any guidance or recommendations would be greatly appreciated!
Thank you!

Hey Tatiana Nunes,
Great questions, I'm happy to answer them for you!
1. Is there a native "Lock Editing" feature?
Yes! Workiva has a built-in Lock Editing feature available for Documents, Spreadsheets, and Presentations. Users with Owner permissions can lock/unlock a file or section. What it locks:
- Content changes (text, tables, formatting)
- Document Outline (adding/deleting/moving sections)
- Document properties, filters, Find & Replace
- Track Changes toggle, Workiva Sync, Chart Data
What it does NOT lock:
- Destination link updates published from other files
- XBRL changes
- Permissions (adding/removing users)
2. Can you freeze a published version with all content intact?
Partially. Locking editing preserves text, formatting, and structure — but linked data from source spreadsheets will still flow through even when the document is locked. This is by design in Workiva.
3. Preventing automatic updates from linked spreadsheets
This is a known limitation. Currently, there is no native toggle to block destination link updates in a locked document. As a workaround, we'd recommend also locking the source spreadsheet/factbook. If the source file is locked, no new publishes can occur from it, preventing data from flowing into the locked document.
4. Best Practices for Immutable, Auditable Published Reports- Lock both the document AND its source spreadsheet(s) after filing/publication
- Use the Evergreen Roll Forward approach: create a copy of the document for archiving, rename the live doc to the new period, and mark a milestone for the as-filed version
- Use Revision History for a full audit trail of changes
- Use Workspace Activity Logs for tracking admin and user actions
- Export a PDF copy of the final published report as an additional immutable archive
- Use Advanced Permissions > Export Permissions to snapshot permission states before any locking changes
Now, there is a feature request in place to prevent destination link updates in locked documents. I think this would solve what you're looking for so I've went ahead and added you!
