Automated change control based on section lock/unlock status and task management
Hello Workiva team,
I would like to suggest an enhancement to improve governance and workflow control within documents in Workiva.
Currently, there is no automated mechanism to manage document changes based on section lock/unlock status or to dynamically interact with task workflows when changes occur.
Suggested Enhancement
Introduce an automation layer for change control, including:
- Detect when a section is unlocked after being approved/locked
- Automatically flag the section as modified
- Trigger reopening of related tasks if changes occur
- Link section status with task lifecycle (open, in progress, completed)
- Enable rules such as:
- If a section is unlocked → mark as “in review”
- If changes are detected → reopen associated tasks
- If no pending tasks → optionally create new review tasks
Business Justification
This feature would significantly improve:
- Governance and control over document changes
- Auditability and traceability of post-approval edits
- Process integrity across collaborative teams
- Reduction of manual follow-ups and missed updates
- Alignment between content changes and task management
Current Limitation
At the moment:
- Sections can be unlocked and modified without triggering workflow actions
- Tasks remain closed even after relevant changes
- There is no automated link between content changes and task status
This creates gaps in control and increases the risk of unreviewed changes.
Use Case
In financial, ESG, and regulatory reporting workflows:
- Sections are often approved and locked
- If later unlocked and modified, changes must trigger review cycles again
- Tasks should automatically reflect this (reopen or reassign)
Without automation, teams must manually track and manage this process.
Closing
Adding automation between section control (lock/unlock), change detection, and task management would significantly enhance governance and workflow reliability within Workiva.
This would be especially valuable for enterprise clients operating in regulated environments.

I completely agree and want to add another layer to this use case regarding the Process feature and SOX compliance.
Currently, our clients use Processes for document approvals. However, there is no direct link that automatically locks the document upon the final approval iteration. Because of this gap, teams are forced to maintain two distinct, manual workflows to ensure control:
- Using Labels to manually control the lock/unlock status of the document (the platform already natively delivers an email notification when this status changes, which is helpful).
- Using Processes to route notifications and approvals.
Workiva is outstanding for collaboration, but to ensure strict SOX-level controls within Financial Reporting, we need a guarantee that an approval remains effective. If someone needs to make a critical change to an already approved document, this action should automatically re-trigger the Process/Tasks, notify the necessary stakeholders, and generate a clear audit log, just like the task logs we already have in Processes.
While it is currently possible to restart a Process from scratch when a change occurs, the trigger to do so is entirely manual, which significantly increases the risk of human error. Tying document states (Locks/Labels) directly into Process automation would eliminate this risk and be a game-changer for enterprise governance.
