Processes Tags and Groups

Hi,

Within the classic certifications users were able to add tags to items to improve the reporting functionality, is this within the release schedule for the new processes module? 

Also will it be possible to create user groups and assign groups as the signer/approver rather than individual users? This would help when needing to amend the user assigned to a live certification as from what I can tell once the certification has been run there is almost nothing you can edit from assignments to due dates.

    Hi Kirk (and community members following this thread),

    We’re updating this post to ensure the details reflect current product functionality in the Processes Module. Here is the latest on Tags, Workspace Groups, and Editing Live Certifications:

    Tags in Processes (Now Available): Tags are fully live in the Processes module! You can use them to streamline reporting:

    • Add up to 5 tags per action (Category: Value, e.g., Priority: High or Segment: Legal) both before and after a process starts.

    • Bulk edit tags prior to process launch, or update them on individual actions after launch via the action's three-dot menu.

    • Tags are included in both Process Status Reports and Certification Response Reports for filtering and sorting.

    • Note: Tags display in the right-hand action detail panel (rather than inline table columns) and cannot currently be deleted workspace-wide once created.

    Workspace Groups as Signers/Approvers: Assigning a workspace group directly as a signer or approver on an action step is not currently supported.

    • You can select a workspace group during setup to automatically generate individual certification actions for each member (one action per person).

    • You cannot replace an individual assignee with a group once a process is live—you can only replace one individual with another individual on steps that have not yet sent.

    • Feature Request: There is an existing feature request for Assigning Tasks to Multiple Users (group) here. I encourage any interested folks to upvote / comment on the post!

     Editing Live Certifications

    • You can still edit assignees, approvers, or add additional steps on actions that have not yet been sent.

    • Active, in-progress steps cannot have their assignees freely swapped out. However, you can update due dates on active actions via the action's three-dot menu.

    We are currently planning on going through the technical and product discovery for creating tags next quarter. The discovery process will give us better information on what exactly we'll need to implement and how. We do not have it on a release roadmap yet, that will be planned after our discovery! In the meantime, there are two workarounds we recommend (both of these are included in the process status csv export and can be used to filter/sort in excel).
    1. Adding the tags to the action title
    2. Adding tags to the instruction field of the cert action. The tags would only be on that specific cert action for the recipient, which is similar to how tags are added/used in classic certs.

    We have not released the functionality of groups yet. However, you now have the ability to add multiple approvers and signers as of June 12th!
