NextGen Folder Structure
We are scheduled to transition to NextGen this fall. Currently, in Classic, folders and their corresponding documents appear in an order that we (administrators) have set them, and the folders and documents don't change unless an administrator moves the folder or document. The concern is that when we move away from the project structure to a folder structure in NextGen, it seems the order of files and their documents can frequently change because of default settings established on Workiva's end, such as last modified date. Question:
- In NextGen, what options do we (administrators) have where we can set the order of files and documents, so the order in which they appear to our general users does not change?

Hi Kristie!
Sounds like the fall will be an exciting time for you guys 😊. We definitely look forward to helping you get squared away and ready to go for the big day.
Regarding your question, currently in Next Gen, files are presented in alphanumeric order by default, both within the Files view and within a Folder. I should add that when filing, you can dictate ordering in the filing experience. Our Product Team is looking into allowing a content ordering configuration, and I've passed your feedback along for their consideration. I'll keep you updated here with any updates, and you can keep up-to-date here with your request.
In the meantime, what is available currently is some specific Folder Settings, including the name of your transitioned Folder, the location where that Folder will go and capacity to recreate your project's folders as Folders in the your Home view. When you select Transition from a Classic Project, this option is found here:
Also in the future for Folders is permissions, which may help in what you are describing as well. In the meantime, give me a holler if there are any questions on the above, or you need anything else. Thanks again and have a great rest of your day!
0Hi,
When can we expect to have the capability to change Permission levels at a folder level. It is very cumbersome and time consuming to do that at each file level.
Thanks.
2Hi Vikas!
I'm pleased to report that Folder permissions is generally available for all users. To access, right-click on a Folder in Home to alter the permissions.
Here's a Help article on Setting Folder Permissions.
Note that this is the first phase of the roll-out, which does NOT include inheritance, meaning the content in the Folder is not changed when you change the permission of the Folder itself. That change is coming as part of the next roll out and I'll keep you updated regarding that as well. Holler if you have any questions or need anything else. Cheers!
