Streamlined Access Requests - Question

    Hi Julie Hilsher

Great question! The request access will be sent up to the 5 most recent editors in the file.

So in the case of a file only having 20 editors but only sending to 4, only those 4 would have been recent editors to the file. Otherwise if there are no recent editors it will just send to up to 5 document owners.

There is currently no way to exclude and owner from receiving a request, but I can create a ticket for a future enhancement so the team can discuss. Let me know if this is something you'd be interested in!

Thank you Isabel for your response and for opening a ticket. We are turning off this functionality for now until it is more mature. A couple of things:

    * I think (hope) that in your response, when you use editor, you mean owner. In other words, you have to be a document owner to receive the automated access email, right? Just being a document editor should not give you the right to approve access.

*I'm curious what the scope is for 'recent editor' - is it in the past one month? 3 months? etc.

    * I'd personally rather see that the automated request ONLY goes to people that are both a document owner and who have made a recent update in the file, even if it means the request goes to less than 5 people. For this purpose, the quality of those getting the request is more important than the quantity of people getting the request. We mostly use user groups for permissions, so some people will be document owners (such as people in our central office) but never go into a given document. For them to receive an access request for a document they have never been in or edited would be very confusing. If someone is both a document owner and a recent editor, you are more likely to zero in on the right population for possible approvers.

    Thank you!
