Workiva Roles - Unable to identify the meaning of some of the roles
Hi Team,
Greetings for the day.
We have checked all the available articles regarding the workspace roles, but we didn't find definition of some of the roles that are available in our workspace.
It would be really helpful for us if we can get a description of the below mentioned roles, explaining their impact in workspace.
- +Dashboard
- +Data
- +PBC Request
- +Preparing
- +Report
- +Testing
- Custom field admin
- External Audit
- Form Layout Editor
- Manager
- Preparer
- Process/Control owner
- Reviewer
- Section 16 filer
- Task admin
- Tester
- XBRL Manager
Thanks for your time on this.

Welcome to the Community, Umang!
Thanks for the question. Happy to help answer this one.
Most of the roles you are seeing there are Database roles (SOX, Audit, Risk, etc.). Some are feature add-ons, which are +Dashboard, +Data, +PBC Request, +Preparing, +Report, and +Testing, and others are just OOTB Database roles, like External Audit, Form Layout Editor, Manager, Preparer, Process/Control Owner, Reviewer, and Tester. The other roles listed are available Workspace roles, including Section 16 Filer, Task Admin, and XBRL Manager. Your one outlier here is Custom Field Admin, which is not a standard role but one that was recently deployed to our GSR solutions. This is related to editing APIs. Does that mesh with your solution type?
Let me know what questions you have there and if you need any further clarification on anything. Below are some articles that should list the info above.
Here's an overview of the Database roles.

Here's info on Workspace rolesThanks again and have a super day!
0I have the same general problem as above. Even though I've been using the system for a while, it would be super helpful if there were a support page with a quick reference definition for each of these standard roles. For example, if I want to grant a user read-only access to the testing experience, I think it is the +Testing role that I want to grant but I'm not certain if that grants more or less than what I am looking for. If there were a reference page, it would easily be one of my top bookmarks used.
0Hi McKay!
Thanks for sharing that. I am happy to pass along this feedback to our UX team for additions/improvements to our support materials. Appreciate your feedback. Cheers!
