Font manager lets you manage the fonts available to your organization. You can add custom fonts, review their status and license owner, and control whether fonts appear in the editor font selector.
Requirements
- You must be an Org User Admin.
- You need the appropriate font files for any custom font styles you want to upload.
Note: Font changes may take up to one hour to appear across Workiva. This includes activating, deactivating, or deleting a font.
View and find fonts
Font manager displays the fonts available to your organization, along with information about each font.
To access the font manager:
- Go to Organization Admin.
- Select Configuration.
- Select Font manager.
Use Search fonts to find a specific font.
The font table includes:
- Font: Displays the font name and a preview of its appearance.
- Status: Shows the current status of the font, such as Active or Ready.
- License Owner: Shows who owns the font license.
Understand font statuses
The Status column shows whether a font is available for use or requires additional action. Hover over the information icon next to Status to view status definitions.
- Active: Font is active and available for use.
- Inactive: Font is available but not activated.
- Processing: Uploaded font is being verified for use.
- Ready: Font is ready to be activated for the first time.
- Fail: Font couldn't be verified.
Add a custom font
You can add a custom font and configure the styles that are available for it.
To add a font:
- From the font manager, click Add custom font.

Under Upload required styles, click Upload font for Regular and select the font file. This will automatically add the font's name.
Note: We recommend keeping the default font name. It pulls automatically from the file and matches your Office exports. If you're archiving a font for a new version, rename the old font first, then upload the new font with its default name.
- Add the Bold, Italic, and Bold Italic styles. You can either:
- Upload a font file for the style.
- Select Use existing style to use one of the styles you already uploaded. Learn more
- Under Web safe font, select a font to use when the custom font can't be displayed.
- Choose whether to enable Use font in editor dropdown. Learn more
- Click Add custom font.
- Your font will be listed in the font manager.
Use an existing style
If you don't have a separate file for every font style, you can use one of the styles you already uploaded.
For example, you can select Use existing style for Bold Italic and choose Regular, Bold, or Italic.
This lets you complete the required font configuration without uploading a separate file for that style.
Control whether a font appears in the editor
Use font in editor dropdown controls whether the font name is rendered in its own typeface within the dropdown. This option is automatically enabled and the preview will show what will be displayed within the dropdown.
For symbol fonts, we recommend disabling Use font in editor dropdown. This is because symbol fonts can produce an illegible text. Disabling will allow a standard, readable font to be used instead.
Activate a font
A font with a Ready status can be activated for use.
To activate a font:
- Find the font in the font manager.
- Open the font's menu.
- Select Activate.
After activation, the font's status changes to Active. It may take up to an hour for the font to show in the dropdown in the editor and will require a refresh.
Once a font is activated, you can deactivate a font by clicking its menu and selecting Deactivate. Deactivated fonts won't show up in the editor dropdown in your file.
You can reactivate the font by going into the font manager, and click Activate in the font's menu.
Edit a font
You can update the configuration for a custom font.
To edit a font:
- Find the font in the font manager.
- Open the font's menu.
- Select Edit.
- Make your changes.
- Click Save changes.
Depending on the font, available changes can include its name, uploaded font files, style configuration, web-safe font, and whether the font appears in the editor dropdown.
Some Workiva-provided fonts may not have the same management options as custom fonts.
Delete a font
Deleting a font is permanent and can affect existing content that uses the font.
To delete a font:
- Find the font in the font manager.
- Make sure that the font is not currently active. You can deactivate the font before deleting.
- Open the font's menu.
- Select Delete.
- Confirm to delete the font.
