Use and create suggestion types
Workiva AI suggestions helps you review your document by automatically identifying improvements based on a selected suggestion type. Instead of manually scanning your content for grammar issues, clarity improvements, tone adjustments, or active voice updates, you can choose or create a suggestion type and run it across all or selected sections of your document.
When suggestions are created, you can review, accept, or dismiss each recommendation individually or accept/reject all suggestions. This helps you improve quality and consistency while staying in control of your final content.
This feature is currently available to select customers as part of the Workiva AI suggestions early access preview. The preview feature is provided to you for technical testing and evaluation only from now to September 14th, 2026. Workiva may reduce the testing period of the preview features at its discretion. Run standard suggestions
Standard suggestion types focus on writing quality and style improvements. You can select multiple standard suggestion types at once.
To run standard suggestions:
- Open your file.
- Click the Workiva AI icon in the right panel.
- Select the Suggestions tab.
- Under Suggestion type, choose one or more options. Learn more on standard suggestion types.
- Under Sections, choose All sections or select specific sections.
- Click Run.
Workiva AI scans the selected content and generates suggestions in the panel.
Standard suggestion types
Each suggestion type focuses on a different writing goal:
- Proofread: Identifies grammar, spelling, and formatting issues.
- Clarity & conciseness: Suggests ways to simplify and tighten your writing.
- Tone: Adjusts language to be more professional and neutral.
- Active voice: Rewrites passive wording to be more direct.
Create and manage custom suggestion types
Custom suggestion types allow you to define exactly what the AI should look for or generate.
Note: Custom suggestion types can’t be combined with standard suggestion types. Only one custom suggestion type can be run at a time.
Add a custom suggestion type
To create a custom suggestion:
- Open the Suggestions tab.
- Open the Suggestion type dropdown.
- Under Custom, click Add custom suggestion type.
- Enter a suggestion type name.
- In the Prompt field, describe what the AI should do.
- Click Add.
Once saved, the custom suggestion appears in the dropdown under Custom.
Edit or delete a custom suggestion type
To manage an existing custom suggestion:
- Open the Suggestion type dropdown.
- Under Custom, locate your saved suggestion.
- Click the three-dot menu.
- Select Edit to modify the name or prompt.
- Select Delete to permanently remove it.
Review suggestions
After you click Run, suggestions appear grouped by section.
For each suggestion:
- Review the suggested change in the panel.
- Click the checkmark to accept the suggestion or click the X to dismiss it.
Accepted suggestions update your document automatically. Dismissed suggestions are removed from the list.
At the top of the panel, you can see:
- The last run time.
- The area that was reviewed (for example, All sections).
You can adjust the suggestion type or sections and run the process again at any time.
Things to know
- After running a suggestion type, suggestions don’t apply automatically. You must accept each one to apply.
- Running suggestions again refreshes the list based on your current document content. Suggestions are not additive—each run removes the last list of suggestions.
