Note: Workiva Calendars and Calendar-related features (such as using business days in processes) are currently only available in some of our Financial Reporting and Financial Services solutions.
There are three ways to add a calendar: creating a new calendar, importing an external calendar as a Workiva calendar, and subscribing to an external calendar.
You can manage access to your calendars by assigning the appropriate permissions to users in your workspace.
Create a new calendar
To create a new calendar:
- Click Calendar to go to the Calendars experience.
- In the Calendars experience, click the Create dropdown next to the list of calendars, and select Create new calendar.
- Fill out the following fields:
- Enter a Name.
- Select a Color.
- Enter an optional Description.
- Select a Time zone. Events in this calendar will default to the selected time zone unless otherwise specified in the event details.
- Click Create. You can now add events to the calendar.
Tip: All of your assigned tasks with due dates, the calendars that you have permissions to, and the processes that you have permissions to will show in the Calendars experience. You can show or hide these calendars and processes to manage which events you see.
Import a calendar
First, you’ll need a valid calendar .ics file (max 500KB file size) of your external calendar in order to import it into Workiva. Review the calendar import requirements for more details.
Export common external calendars as an .ics file
Outlook

Import .ics file into Workiva
Once you have a valid .ics file of an external calendar, to import it as a Workiva calendar:
- Click Calendar to go to the Calendars experience.
- Click the Create dropdown next to the list of calendars, and select Import calendar.
- Upload an .ics file (max 500KB file size) by clicking Upload file.
- You can import the external calendar as a new Workiva calendar, or you can add the external calendar’s events to an already existing Workiva calendar.
- Click Import. You can now view and edit the calendar events directly in the Workiva platform and add new events to the calendar.
Subscribe to an external calendar
When you subscribe to an external calendar, any edits that are made to the external calendar will sync and reflect in the linked Workiva subscription calendar.
To subscribe to an external calendar:
- Click Calendar to go to the Calendars experience.
- Click the Create dropdown next to the list of calendars, and select Subscribe to calendar.
- Enter a valid .ics URL.
- Click Subscribe. The Workiva subscription calendar is now linked to the external calendar, and any changes made to the external calendar will sync and reflect accordingly.
