From Sustainability Program, you can import metrics and their details — including Program tags, custom dimensions, and related content from Sustainability Explorer — in bulk. To also add historical metric values or data collection tasks in bulk, you can work with your Workiva CSM or implementation partner to create them from your structured metric file (SMF) Spreadsheet.
Step 1. Import metrics and dimensions
Before you request the SMF, first import the metrics and their dimensions into Sustainability Program.
When your Program includes all of the metrics to update with new values or tasks, contact your Workiva CSM or partner to request they update your SMF to include the metrics.
Step 2. Set metrics' frequencies
In your SMF, the Metric frequency configuration sheet includes details about your Program's metrics. From this sheet, view each metric's details — including its topic, ID, name, dimensions, and collection frequency — in its respective row.
From this sheet, set up details about each metric's collection frequency as necessary:
- If a metric's collection frequency is not yet set, select how often it collects values throughout a reporting year — Yearly, Biannually, Quarterly, or Monthly — in the Frequency column.
- After you complete the Metric frequency configuration sheet, contact your Workiva CSM or partner to set your metrics' frequencies based on the Frequency column and update the Bulk update section of your SMF.
Note: It may take 5-10 business days for the metrics' frequencies to appear in your Program. Thanks for your patience!
Step 3. Add collected values or task details
From your SMF, update the metrics with any collected values — such as from historical reporting years — or tasks to delegate their data collection.
The Bulk update section includes Historical data load sheets, which curate metric values based on their collection frequency — Yearly metric values template, Quarterly metric values template, and so on. From these sheets, enter metrics' collected values as necessary:

From the sheet for the value's collection frequency, find
its
row, based on:
- The metric — as identified by its ID, topic, and name in Metric code, Topic, and Metric, respectively
- Any applicable custom dimensional values

In the Reporting year column, enter the
Program
year of the value.

In the Metric value column, enter the historical
value for the respective collection period. For example:
- In the Yearly metric values template sheet, enter the data in Metric value for the reporting year.
- In the Monthly metric values template sheet, enter the data for the first month's value in Metric value - M1; in the Quarterly metric values sheet, Metric value - Q1 for the first quarter's value; and so on.
- In the Notes column, enter any additional supporting commentary about each collected value.
The Bulk update section includes Task details template sheets, which curate values' assignment details based on collection frequency — Yearly task details template, Quarterly task details template, and so on — with a separate row for each metric value.
From these sheets, set up each value's assignment details as necessary:

- In the Reporting year column, enter the Program year of the value.

Enter the task's assignment details in the columns for
the
respective
collection period; for example, in
Quarterly approver/provider template,

Column Description Task name Enter a unique name to help identify the value's data collection task.
Tip: If left blank, the Program automatically generates a unique name based on the value's metric, collection period, and dimensional value.
Provider Select the workspace member — or assignee — to prepare the value. Tip: To assign more than one Provider, you can edit the task through the metric or Find & replace to add additional assignees.
Provider date Enter the due date for the data provider, in a YYYY-MM-DDformat.Approver Enter the members — by full name or email address — to approve the prepared value.
- To assign only one member to approve the value, enter their full name or email address.

To assign one of multiple members to approve by a common due date, enter their names or email addresses as a comma-separated list; for example,
homer@org.com,marge@org.com,lisa@org.com

To assign multiple members to approve through a workflow with multiple steps and due dates, separate each step's approvers with a pipe (
|); for example:homer@org.com,marge@org.com|lisa@org.com
Approver date Enter the due date for the data approvers, in a
YYYY-MM-DDformat.Note: If Data approver lists multiple approval steps, enter a pipe (
|) between each step's due date.Instructions Enter any details or guidance for the provider and approvers to complete their tasks.
After you enter all values and tasks in the Bulk update section, contact your Workiva CSM or partner to add them to your Program metrics.
Tip: The SMF creates a separate task for each metric value based on its assignment details. If you collect a metric's values through the Workiva Tasks portal, you can then combine its tasks that have the same assignment details into a single task from Sustainability Program.
Note: It may take 5-10 business days for the values and tasks to appear in your Program. Thanks for your patience!
Step 4. Manage tasks in Program
After your Workiva CSM or partner updates your metrics with their data collection tasks, you can manage them from Sustainability Program as necessary.
For example:
- If you collect a metric's values through the Workiva Tasks portal, combine their tasks for a collection period into a single task to help streamline data collection.
- To add additional assignees, edit the task through the metric or Find & replace.
- Send tasks to assignees from the metric or topic to begin their values' data collection.
