You can easily prepare your Workiva document for Regulatory News Service (RNS) submission with our dedicated export option.
Note: RNS is published as XHTML. However, a DOCX must be submitted. XHTML can be saved directly from Workiva, but edits can be made in DOCX if needed.
To export:
- From the File toolbar, click Save As.
- Select Regulatory News Service (.xhtml).
- Choose whether you’d like to export the entire document, the current section, or selected sections.
- Click Export.
After the export is complete, if you need to make any adjustments to the file before submission, open the .XHTML in Word. You can open the file by selecting the downloaded file within Word.
Note: The file can be saved and submitted as DOCX. However, the submission will be published as XHTML.
Alternatively, you can click on the downloaded file and select the option to Open With > Microsoft Word.
Note: Depending on your operating system, the photo above may look different.
Important things to keep in mind
When exporting for the Regulatory News Service, please note the following:
- Make sure that your Workiva document doesn't contain f loating elements. Elements like text boxes or floating tables aren't supported by RNS and will be excluded from the export.
- The submission is posted as a continuous page, so there are no concepts of pages.

Therefore, RNS doesn't support headers and footers and they will be removed on export.
Note: When viewing in Word, there will be blank headers and footers which will be removed during the submission process.
- Footnotes will be placed where they appear on the document, since there's no "end of page" for them to appear.

- Extra white space due to page breaks will be removed where there is no content on export. This means that the flow of your document will have different spacing when viewed in Word.
- If your spacing doesn't appear as intended, check for non-printing characters or use before/after spacing where appropriate to correct the layout of the document.
- Use non-printing characters in Workiva to ensure that there are no extra hard returns. This will be helpful to review before exporting.
- For too tight spacing, use before/after spacing rather than hard returns. This appears most commonly at the end of a page in Workiva.

Table text truncation may appear in DOCX, but that can be ignored as it'll adjust in XHTML and automatically resolve. To best view how the XHTML will look, use Web Layout instead of Print Layout. With this layout, text stretches across the page, but not tables. Left/right margins will automatically be added in the RNS submission for the expected alignment. To view this, adjust the DOCX window to be inline with tables.

- Don't focus too heavily on the view of the DOCX. This won't be the format in which it's published. Prepare the Workiva to be formatted as expected and make only minor tweak to DOCX when needed.
