There are a couple of ways to view tasks:
- View a list of all your tasks across files under the Tasks tab in Home
- See all of your tasks assigned within a specific file in the Tasks panel on the right
Who can see what
People with these roles can view all tasks
- Task Admins
- Workspace Admins
People with these roles can only see the tasks they are associated with
- Assignees
- Approvers
- Task Owners
Note: Document, presentation, and spreadsheet owners can't see tasks unless they also have one of the above roles.
View all tasks in Home
In Home under the Tasks tab, you can see tasks across files that are assigned to you, tasks you created, tasks needing your approval, or all tasks. The icon next to the title shows the status of the task: Sent, Returned, Approval, or Complete.
Customize your view of the Tasks list using the configurable columns. Click the plus icon to add another column or click on a column heading to view the configuration options.
- Sort ascending: Sorts the list in ascending order of the items in that column
- Sort descending: Sorts the list in descending order of the items in that column
- Move column left: Moves the selected column one space to the left
- Move column right: Moves the selected column one space to the right
- Show column: Select other available columns to add to the view to the right
- Remove column: Removes the selected column from the view
View file-specific tasks
To view a task in a file:
- With the file open, click the Tasks icon in the right panel to see a list of tasks assigned in the file.
- Click on a task to view its details.
You can use the Sort function to organize your tasks by title, due date, and most recently added.
You can also use the Filter function to change the view of which tasks you see in the Task panel. You can:
- Filter tasks by Status
- Filter tasks by Assignee or Approver
- Filter tasks by Section
Go to a task
You can move to a specific task in the file from the Task panel:
- With the file open, click the Task icon to open the Tasks panel.
- Click the desired task.
- Click the hyperlink under Location to move directly to the task's location in the file.
Complete a task
When you’ve finished a task, you can mark it as complete. If an approver was assigned to the task, it will automatically be sent to them for approval.
To complete a task:
- With the file open, click the Task icon to open the Tasks panel.
- Select the task you have completed in the file.
- If the task requires approval, click Submit. If the task doesn't require approval, click Complete.
For tasks with multiple assignees, an email will be sent to the group to inform everyone that someone has completed the task. When the task is completed, if no approval is required, the task creator will receive an email notification. If there's an approver for the task, it will be added to their list of tasks requiring approval.
You can also mark a task as complete from the Tasks list in Home. Select the task to see its details within the file and mark it as complete.

Reopen a task
To reopen a completed task in the Workiva document editor:
- With the file open, click the Task icon to open the Tasks panel.
- Make sure to set your filters so that you can see the completed task that you want to reopen.
- Click on the completed task.
- Click Reopen.
The task will be resent to the original assignee.
