Subject matter experts (SMEs) at your company — like you! — may be asked to prepare or approve values for environmental, social, and governance (ESG) or sustainability disclosures, such as for an annual report, questionnaire, or regulatory requirement. To help collect this data, the Workiva Platform sends tasks for these requests, and then curates the data provided — year-over-year — in their respective metrics in Sustainability Program.
Manage tasks
If assigned a metric value, you'll receive a notification in the email inbox associated with your Workiva account. You can open the related task directly from this email.
Tip: These notifications come from "notifications@workiva.org". If you don't see a notification, search your inbox for this From address, or check your Spam or Junk folder.
In the Workiva Platform, you can also view and open your assigned tasks from Home.
Complete tasks
Depending on a value's setup in the Program, its task opens in either a connected source file or the streamlined Workiva Tasks portal.
If a value is connected to the Data Collection spreadsheet or another source file, you complete its task from that file. When you open the task, the source file opens to the connected sheet or section, and highlights the cell or content where you can prepare or review the metric value.
Tip: In the Data Collection spreadsheet, connected cells appear as blue input cells.
From either the Tasks or Sustainability panel, you can:
- Review the metric's reference attachments or related Explorer content for additional guidance or context for the value needed.
Tip: If you have the Sustainability role, you can open a metric's related content directly in Sustainability Explorer, such as to review the related disclosure requirements in full.
- Provide or review any notes or attachments — such as calculations or evidentiary material — that support the prepared value.
Note: Depending on a metric's configuration in Sustainability Program, data providers may be required to prepare notes or supporting attachments to complete its values' tasks.
To complete your task:
- If the value's assignee, prepare and submit the value and any required notes or attachments.
- If the value's approver, review the prepared value and supporting material, then click Approve or Return as necessary. If you return a value to the assignee, enter a note to clarify why and what's required for approval.
If a value has no connected source file, its task opens in the streamlined Workiva Tasks portal — where you focus on only your assigned tasks, like a To-do list.
From the task, you can:
- Review the metric's reference attachments or related Explorer content for additional guidance or context for the value needed.
Tip: If you have the Sustainability role, you can view a metric's related content in the Sustainability Explorer panel, such as to review the related disclosure requirements in full.
- Prepare or review the value and any supporting notes or attachments, such as calculations or evidentiary material.

To complete your task:
- If the value's assignee, prepare the value and any required notes or attachments, then click Send for approval or Complete task.
- If the value's approver, review the prepared value and supporting material, then click Approve or Return as necessary. If you return a value to the assignee, enter a note to clarify why and what's required for approval.
