Use File Colors to customize a shared set of colors in your document, presentation, or spreadsheet. File colors are shared by all users in the file, but only file Owners can import, export, and clear the colors.
Import file colors
File Owners can import a text (.txt) file that contains up to 64 HEX or RGB colors.
To import file colors:
- Open a color picker in your file.
- Select the File Colors dropdown and choose Import.
-
Select Download import template to download a .txt file that contains the formatting guidelines.
Note: You must add one HEX or RGB value per line or separate the values by a comma within the .txt file template. You can add up to 64 file colors.
-
Select Browse to choose the .txt file you want to import.
- Select replace all existing colors or add only new colors to the existing colors.
- Click Import.
Export file colors
Use Export to save a text (.txt) file of the existing color palette to your computer.
To export the file colors:
- Open the color picker in your file.
-
Select the File Colors dropdown and choose Export.
The exported .txt file containing the existing file colors can be imported into other files.
Clear file colors
Use Clear to remove all file colors from the color picker.
To clear the file colors:
- Open a color picker in your file.
- Select the File Colors dropdown and choose Clear.
-
Select Clear to confirm you want to clear the file colors.
Note: Clearing the palette will discard all file colors and remove them from everyone’s view within the file. You can export the palette as a backup or for future use prior to clearing it.
Use file colors in style guides
File Owners can also use file colors within style guides. To do this, you can create a new style guide and update the file colors, or you can update file colors in an existing style guide.
To set colors in a style guide:
-
Under the Edit tab, select Styles and choose Edit Style Guide.
- Create a new style or select an existing style.
- In the Style Editor panel, select the color picker next to Font Color.
- In the File Colors dropdown, select Export, Import, or Clear to update the available file colors for this style.
-
Choose a color from the color picker. You can select the lock icon to prevent users from changing the font color while editing content that has the style applied.
Note: Locking the color in the style guide will not prevent changes from being made to the main file colors palette. Changes that are made to the text file colors palette will not update the colors used in style guides.
- Click Publish to apply changes to the style guide.
