Adding specific permissions to comments will let you control visibility of any commentary, so you can easily collaborate with each other in the same space.

Create a comment with permissions
To create a comment with permissions:
- Create a new comment.
- Next to the Post button, click on the drop down. A comment permissions menu will open up.
- Select who can view the comment in the search bar.
- Click the Post button to create the comment.
Note: You can choose specific groups or people who will be able to view the comment. Once a selection has been made, a key permissions icon will appear to indicate that the comment is private.
Once a comment has been posted, you can hover over it to see who can view the comment.
Set default comment permissions
After you set permissions for a comment, you can set it as your default permissions during your Workiva session. A session will end once you close the browser and the default permissions will reset.
To set default permissions to your comments:
- Create a new comment.
- Next to the Post button, click on the drop down. A comment permissions menu will open up.
- At the bottom of the menu, check Set selections as session default.
- Select who can view the comment in the search bar.
- Click the Post button to create the comment. The next time you create a comment in the same session, the selections you made will automatically be added.

You can easily adjust your comment permissions if needed.
To edit comment permissions:
- In your comment, hover over the key permissions icon .
- A drop down menu will open, from there you can add or remove any users.
- Click Apply to apply your changes.
Add permissions to posted comments
You can easily add permissions to comments that don’t already have them.
To edit comment permissions:
- Hover over the comment and click the drop down.
- Click Apply Permissions.
- Select who can view the comment in the comment permissions menu.
- Click the Apply button to finish changes.
View comments in comments home
You can view all of your comments in your Home under the Comments section. This includes comments with specific permissions which will be indicated with a key permissions icon .
In here, you can expand comments to reply. You can’t make changes to permissions in the comments home. To edit permissions, you’ll have to go to the comment itself in the file.
Ownership ability of a comment with permissions
If you are a Document Owner, you'll be still be able to interact with comments with permissions on the document.
Owners will be able to see and do these actions on their side:
- There will be an additional comments section at the bottom of the Comments panel. This section shows if there are other users with open or resolved comments that Owners don't have permissions to.
- Owners can’t see the content of comments, the location, the anchor point, who is included, or when the comment was made.
- In the comments drop down, Owners can delete or resolve the open comments by author, delete the resolved comments, or delete all comments.
Comments with permissions in reviews
When you send a document for review, comments that have permissions won't be included. Also, users can't make comments with permissions in reviews. To learn more about sending reviews, read Send for review.
