There are various ways to approach document setup and content import.
For example, you can:
- Establish the design first, and then import content
- Import content and design around it
- Start with previous reports and update
We recommend using Word (.docx) to import content. However, if you can’t get that format, see the options below for importing content from PDF (Adobe Acrobat) and IDML (InDesign). PDF and IDML imports require more manual effort, as the content is mostly from text boxes or frames instead of inline.
Word (.docx)
- Check your styles and make sure that they’re correctly applied to the right text throughout the document.
- Import your Word document to Workiva. To learn more, read Create or import a document.
Note: If your Word document came from a PDF conversion, use the original PDF instead and follow the instructions below.
To import from a PDF file:
- Copy and paste the content from the PDF into a plain text editor, such as Notepad. This will take away all of the formatting and ensure that you only have the content.
- Copy the content from the plain text editor and paste it into a new Word document.
- Import your Word document to Workiva. To learn more, read Create or import a document.
- Re-apply styles within the Workiva file. To learn more on how to re-apply styles, read Use style guides for documents.
InDesign (.idml)
To import from an InDesign file:
- In your InDesign file, make sure that your styles aren’t in folders.
- Rename any styles that aren’t CSS compliant if you are exporting to XHTML/HTML. Make sure style names don’t have spaces, don’t start with a number, and don’t contain special characters.
- Make sure that all colors are RGB and not CYMK.
- Copy the content from InDesign to a new Word document.
