    Hi Grace Liu!

    Thanks for the question. Curious, what role do these users currently have in your Workspace? One thought would be applying the Limited Starter role to them. Here's a breakdown of the roles: https://success.workiva.com/help/workspaces/managing-workspaces/workspace-roles. To surmise, a Limited Starter can only review documents and sign/approve Certifications sent to them. Is this an option for you?

    Hi Mike, 

    Thank you for quick reply. To answer your question, those certifiers are set as "limited starter". The thing is we are using our SEC reporting workspace for compiling management rep letter, so the certifiers will also have access to our Q/K filing documents, which we prefer to NOT give them access to. I guess the best solution at this moment is to set up a new workspace for certification purpose only. what do you think?

    Having a separate Workspace for them is an option. Another thing to consider too is what permissions your Q/K filing documents have. I would only expect that these Limited Starters see these files because they are in All Users group and that group has access to those files. Does that seem correct?

    One option might be to remove these users from whatever group(s) they are in entirely so they cannot see the content that is out there unless you want them to. Removing a member from a group will in turn remove them from any place that group is found. To make this change, click on Settings in your Workspace, then Groups and finally click on the group in question.


    As mentioned, its likely these members are in the All Users group. From within any group, find the user(s) in question and remove them from the group via the trash can icon on the right.


    Note that the All Users group needs to remain in the account as its tied to many account functions and any new user added to your Workspace will automatically be added to that group so you may want to remove other members in the future.

    No worries, keep 'em coming!

    The good news is yes,  you can move a Certification process between Workspaces. The only caveat here is that its currently only available for you CSM to perform. Eventually this will be made available externally, but for now you'll need to connect with them to move the processes for you.

    Mike, I am going to add on to this thread from a few months back. We are trying to add an external attorney to our account so they can comment on reviews we send out of our 10-Q/10-K drafts. However, even when we assign them the limited starter role in the workspace, they are not able to open the reviews we send. Instead, when they open the review link, a window pops up saying "No content available - please request permission to view this comment." The only way I have been able to give them access to view the review is to give them view access to our document, but we don't want them to be able to open our live document. Can you help? Thanks!

    Hi Mark,

    No problem. I got you. :)

    In classic, in order for reviewer to see the content, they'd need a min of Viewer access to the document, however, you could still restrict section permission to None if you wanted.

    That being said, with a Limited Starter role, they'd only be able to view the reviews that are sent to them and not the live document. Here's an example of what a Limited Starter sees.

    A quick note here too. In next gen, the send for review option does NOT require a user has access to a document to be sent the review, they only need to be a member of the workspace.

    Thanks for the quick response! I gave that a try, but it seems like the ability to see sections in the review still corresponds with the access for the actual document. I switched the external users to view for the overall document but then no access for each individual section in the document. Then I sent a review and the external account could not see the contents. They could access the review and could see the section names, but continued getting the "No content available - please request permission to view this comment" message. I am working in workspaces but still under classic documents. Is that the problem?

    No problem, Mark.

    Yes, that would be correct. In the classic model, the user would need corresponding "viewer" access to the entire document and whatever sections you wish them to see in the review they are sent. You can rest assured, however, that even though they "Viewer" access to the file, with a Limited Starter role, they cannot access the file itself, only the reviews they've been sent.
