    Great convo, John!

    There have been some changes to Workiva’s license structure, as well as our Internal Audit, SOX and Workspaces products. All of these have entailed new/additional roles, which is why you see a discrepancy between your own account and what’s listed on our Help site. I’ve forwarded your feedback onto the team for consideration into broadening that article to be more inclusive to what you are seeing. In the meantime, I can help elaborate a bit on what the roles you have can see/do. Keep in mind you may not see all of these options, and some are not available to be added depending on what your license is in your Wdesk Org.

    Global Roles

    • Workspace Admin can update workspace settings, manage workspace members and groups, manage workspace content, view activities log for the workspace, and move files between workspaces.

    • Workspace Member - can view other members in a workspace and access files and documents in a workspace.

    • Workspace Support User - designated for Workiva staff, i.e. your CSM and/or PSM. Has same access as a Workspace Admin, as well as Professional / Editor plus XBRL capabilities. Invited to your workspace by workspace admin.

    Available Roles

    • Starter - can review, comment, and approve documents. They can also sign or approve certifications, and can also contribute classic support documents via portal or data via classic data collections.

    • Standard - can create and edit documents, create links, and view the history of documents. They can be a certification user, account administrator, and workspace admin.

    • Professional - can create and edit documents, create links, and view the history of documents. They can be a certification user, account administrator, and workspace admin. They can also manage controls management, certifications, classic supporting documents, and classic data collections.

    • Viewer - can review, comment, and approve documents. They can also sign or approve certifications.

    • Editor - can create and edit documents, create links, and view the history of documents. They can also be a Certifier User and Workspace Admin.

    • Filing - can file documents and Section 16.

    • XBRL - can access, edit and generate XBRL on documents.

    • Limited Starter - have view-only access to assigned binders and reviews. Use this role to provide limited access to workspace content.

    • Certifier Creator - can create templates, processes, & letters but can only manage ones they created.

    • Certifier Admin - can manage all things in Certifications no matter who created it.

    SOX / Controls Management Roles
