Certifications - one signer with multiple subsidiaries

    Hi Terry.  First, welcome to the Community!  Second, I believe I have a solution that will work for you.  You can create a quarterly process and then the letters within that process would be designated for the multiple subsidiaries. Here is a test example I created.


    As you can see, the letters are subsidiary specific and have their own recipients.  You can add to the letters, then, the appropriate recipients needed for this certification and there can be crossover, meaning a signer can be on more than one letter.  In the example shown I am the signer all three letters.  Here is visual of the tracker:


    This process could then be rolled forward at each quarter and edited with signers added or removed, etc.  I believe this may achieve what you are looking for.  However, if not please let me know and I can continue to help however I can.  Thanks again for your contribution to the Community.  Looking forward to working with you.

    What happens in this scenario if you need to update the letter by adding an additional question or some other change? Do you need to recreate the entire process from scratch or could you just update the template and replace the letters in the process with the template letter? We are considering doing this for our quarterly survey that we send but it is approximately 50 questions with approx 40 regions and occasionally questions are added/moved/removed and I would hate to have to rebuild the process for 40 different letters each time there is a change.

    Hi Veronica,

    Thank you for reaching out. After consulting with our certifications experts, we do not have a way to edit or replace letters after one has been sent out - it'd be an added letter to the same process. The best way would be to update the letter template, add another letter to the same process, and re-add the recipients to the new letter (and maybe delete all the prior letter's recipients). I'm not sure if this is exactly what you mean by recreating the entire process, but that would be the best option at this time. Please let us know if you have any additional questions. Thanks!
