You can update the default permissions applied to new folders and update permissions in bulk to folders. To manage default folder permissions, you’ll use permission sets in Classic Account Admin, which are a collection of group and user level permissions.
To learn more about folder permissions, see Set Folder Permissions.
About permission sets
As you work with folder permissions in a workspace, you'll use permission sets to help manage defaults. There are a few things to keep in mind as best practices as you use groups and permission sets:
- Do not remove users from the all users group
- Do not set the all users group to none for the default permissions sets.
If you need to change the default permissions so that the all users group is none, remove the All Users group from the default permission sets.
Update folder and file permissions
If you have owner permissions to all the files and subfolders in a folder, you can update permissions for multiple items in that folder from the Folder and Files option.
To open a matrix view of your files and their permissions:
- From Files or Home, right-click a folder.
- From Permissions, select Folder and Files
This view shows a list of all the files in your folder, including any subfolders and their files.
To edit permissions on an individual section of a file, right-click the file and select Section Permissions.
You can also open a file by right-clicking the file name and selecting Open.
Change default folder permissions
Note: Classic Account Admin is still used to manage permission defaults through permission sets.
You can change the default permissions for new folders. After you update the default permission set, any new folders created will use the new permissions set. When someone creates a folder, they are automatically set with Owner permissions, regardless of the default folder permission set.
To update the default permissions for new folders:
- Click your name in the lower left and click Classic Wdesk and then select Classic Account Admin.
- Click Permissions and then select Permissions Sets.
- Click the “Default Folder Permissions” permission set to view and edit it.
- To change the permission set for a group or member, click Edit. Click Add member or Add group to add a new members or groups to the permission set.
- Select desired permission level.
- Click Save changes.
To remove a group or member from the permissions set, find the group or member in the list and click Remove.
Bulk update folder permissions
You can update folder permissions in bulk using permission sets in Classic Account Admin. When you apply permissions in bulk, there are a couple things to keep in mind:
- Applying a permission set overwrites the existing permissions, it does not add to existing permissions
- Applying permissions in bulk cannot be undone—once you start it, the process can't be cancelled or reverted
To update permissions in bulk for folders:
- Click your name in the lower left and click Classic Wdesk and then select Classic Account Admin.
- Click Permissions.
- Click the filter icon and deselect all of the items except Folders, then click Go.
- After you’ve filtered for only folders, click the checkmark to select the folders you want to update. You can select up to 100 folders at the same time.
- Click Apply permissions set.
- Choose the permission set you want to apply to the selected folders and click Continue.
- Review the changes to confirm your selection, then check the box that you’re sure and click Apply.
