The Next Generation of Workspaces
What is a Workspace?
Workspaces are secure, customizable spaces for departments and teams to collaborate on data, documents, and processes. They are how you organize teams and files into secure, controlled spaces. An example is SEC and SOX teams each having their own, individual workspaces.
Use workspaces to separate teams, documents, and processes to ensure the right people have the right access to information. Solutions are how you enable additional functionality in a workspace, such as XBRL, Filing, and more.
What is an Organization?
An organization connects all workspaces at your company. This lets organization admins manage all users and workspaces in one central location and apply settings that are enforced across workspaces.
Typically, you'll have one organization for your company, and then each of your teams or departments will be organized into separate workspaces.
Every member of a workspace has a role. Workspace Owners can assign members with a role to control what they can do in a workspace. Use roles to provide access to features needed in a workspace, such as filing or certification.
You can view your role and the role of other members in a workspace by clicking the People icon in the top left corner.
Switching between Workspaces
As you collaborate with team members, you may belong to multiple workspaces. You’ll know what workspace you’re in by the workspace name, abbreviation, and color.
You can switch workspaces by clicking the Workspace switcher in the top left corner. Here, you can browse your workspaces.
Organization Admins & Workspace Owners
At the organization level, there are a few types admins – Org User Admins, Org Workspaces Admins, and Org Security Admins. Each has unique features they can access to help manage settings for the organization.
If you are an admin, you can access organization settings by clicking your name in the lower left corner and choosing organization admin.
Org User Admins can add, remove, update and view users in your organization, manage organization settings, and view all activity in the organization.
Org Workspaces Admins can manage all workspaces, workspace settings, members, roles, and groups, create new workspaces, and view all activity in all workspaces
Org Security Admins can view, update, and manage organization security settings, such as password settings, access restrictions, and SAML single sign-on.
Workspace Owners can manage users, groups, and settings for a workspace. Additional workspace admins can be designated by an organization admin or another workspace admin. Access workspace settings in the upper left corner.
