Note: Workiva Generative AI is available for any customer who has signed the Workiva Generative AI Terms of Use. Once signed up and approved, Workiva Gen AI is enabled for the organization and for all existing and newly added workspaces and users within that organization by default. Org Admins can manage this enablement by restricting Workiva Gen AI to specific workspaces and users or disabling Workiva Gen AI for the entire organization as needed.
To help you gain greater insight into your data and documents, you can now reference files in your Workiva Generative AI prompts! This will allow you to summarize files, extract data from files, generate new content based on those files, and more, all while staying safe and secure in the Workiva platform.
Note: Workiva Generative AI content is generated by AI and isn’t trained on Workiva content or customer data. Make sure to review all responses for accuracy. See Generative AI Terms of Use.
Reference files in the Workiva Generative AI chat
- Launch the Workiva Generative AI chat by clicking the Workiva Gen AI button with the sparkles icon in the upper right hand corner of the platform.
- Click the "add document" icon or type “@” in the input box to open up a dropdown that lists your recent files.
- To search for a specific file, you can click Browse all files or type the file name after the “@” symbol, and the dropdown will show the files in your workspace that you have permissions to that match your search.
- Select one or more files to reference in your prompt.
Note: If you afterwards edit the file name in the prompt, the file reference will no longer work. To fix this, delete the file name entirely, and follow steps 2 to 4 again.
- Adjust the prompt to suit your needs, then send the prompt. Workiva Gen AI will use the text in the latest versions of the referenced files to inform its response.
Reference files from Files in Home
- Go to Files and select one or more documents or PDFs.
- Right-click on your selection, and click the Ask Generative AI option from the menu. The Generative AI chat will then launch (if the chat isn’t already open), and your selected files will be pre-populated in the input box.
- Adjust the prompt to suit your needs, then send the prompt. Generative AI will use the text in the latest versions of the referenced files to inform its response.

Current limitations
File referencing in Workiva Generative AI currently only supports certain file and content types. Stay tuned for future improvements to this feature!

- When using the Google AI Provider (recommended), there's a limit of 1000 pages
- When using the AWS AI Provider, there's a limit of 4.5MB per file and up to 5 PDF files per chat session

- Section text in printing and non-printing Document sections

- When using the Google AI Provider (recommended) or the AWS AI Provider: Section text, images, charts, tables, and more

- Spreadsheets

File size limitations
We’re continuing to improve file referencing in Workiva Gen AI to support larger file sizes and support referencing a larger number of files in a single prompt. If you hit a file size limit, try referencing files that contain less section body text, or try referencing fewer files. You can also change your preferred AI Provider by going to Settings in the three dot menu and try your prompt again with the different provider.
